# The ideal wedding timeline: when to share which QR code? - URL: https://partylio.com/en/blog/wedding-timeline-qr-code - Markdown: https://partylio.com/en/blog/wedding-timeline-qr-code.md - Published: 2026-05-16 - Language: en From save-the-date to the day after: a practical overview of when to use which QR code during your wedding. Timing is everything at a wedding. That applies to QR codes too. Deploy them too early and there's nothing to scan yet. Too late and you miss the busiest moments. Here's the ideal planning. ## Phase 1: Save-the-date (6–12 months before) Add a QR code to the save-the-date linking to your wedding website. Guests can already find practical information: date, location, accommodation suggestions, dress code. ## Phase 2: Invitation (3–4 months before) On the invitation you add the same link (or an updated version). You can also already link an RSVP form if you want to handle that digitally. ## Phase 3: Week before the wedding Send a reminder email or WhatsApp to your guest list with the Partylio link. Tell them there's a QR code on the tables for photo upload. That way they're prepared and more likely to actually participate. ## Phase 4: Arrival and ceremony Place the QR code at the welcome, on a sign at the entrance, or in the ceremony programme booklet. Guests who arrive early can already start uploading. A short announcement by the MC at the start of the reception helps enormously. ## Phase 5: Reception and dinner This is the main moment. The QR code is on every table. Guests sit down, have a brief rest, and start uploading photos. Make sure the code is also hanging at the entrance, surprisingly effective. ## Phase 6: Evening party and dancing Keep the Partylio feed open during the party. Guests who are enthused by the atmosphere spontaneously upload videos from the dance floor. These are the most energetic images. ## Phase 7: The day after Send a thank-you message to all guests with the link to the Partylio feed. That way they can find their own photos and see what others have shared. A warm gesture that makes the wedding day last one more day. ## Phase 8: Close the upload period After a week or two, close the upload period in Partylio and download everything as a ZIP. Then begins the fun task: selecting the best photos for your photo book, gallery or digital frame. [← Back to blog](https://partylio.com/en/blog)
