The ideal wedding timeline: when to share which QR code?
From save-the-date to the day after: a practical overview of when to use which QR code during your wedding.
A QR code at your wedding only works if it shows up at the right moment. Too early and there's nothing to scan, too late and you miss the busiest moments. It helps to know you're actually using not one but two codes: one that points to your wedding website in the run-up, and one for uploading photos on the day itself. Below it runs from the save-the-date to the week after the wedding.
Save-the-date, six to twelve months before
Put a QR code on the save-the-date that leads to your wedding website. There guests find the date, the venue, accommodation suggestions and the dress code. Photo upload has no place here yet, it makes no sense at this point.
Invitation, three to four months before
On the invitation you repeat the same link, with updated info if needed. If you want to handle the RSVP digitally, attach a form to it right away. That keeps all the practical info in one place.
The week before the wedding
Now you introduce the photo upload. Send your guests a short reminder by email or WhatsApp and let them know there'll be a QR code on the tables on the day to share photos. Those who know in advance don't have to search on the day itself, and that noticeably increases the number of contributions. Older guests in particular appreciate the heads-up.
Arrival and ceremony
Put the upload code at the welcome, on a sign at the entrance or in the programme booklet. Guests who are early start with it there. A short announcement by the MC at the start of the reception makes a big difference: most people only upload once someone says so.
Reception and dinner
This is the main moment. The code is on every table, guests are seated and have a moment to share their photos. Hang one at the entrance and the bar too, because that turns out to work surprisingly well in practice.
Evening party and dancing
Leave the upload open during the party. Those who get swept up in the atmosphere spontaneously share clips from the dance floor. Those are often the most energetic images of the whole day, and exactly the ones your photographer sometimes misses because they can't be everywhere at once.
The day after
Send a thank-you to all your guests with the link to the album. That way they find their own photos and also see what others shared. A small gesture that lets the wedding day live on for one more day.
After a week or two: closing up
Most photos come in during the first days after the wedding, when guests review their own images. After a week or two, close the upload period and download everything at once. Then the best part begins: picking the finest images for your photo book, gallery or digital frame.
